Company Background

Vcita was founded in 2010 and is a business management software specifically tailored towards service-providing companies. The app has an integrated CRM tool with medium functionality. The app is recommended to small teams (with up to 5 users) looking to enhance customer communications.

Plans & Pricing

Vcita’s pricing strategy is a little bit different from most other CRM providers. There are two types of plans – Solo and Team – each with a number of tiers. It’s also worth noting that you can’t purchase the CRM separately as it’s a part of the brand’s business management app.

There is a 15-25% discount involved if you choose annual billing at checkout. The discount is the largest for Business and Platinum tiers. The 14-day free trial allows you to access and test all the features of the software. Overall, the pricing strategy is a bit complicated and highly inflexible. However, considering all the information, small teams with up to 5 members can benefit a lot from the software, both features and price-wise.

The Team plan is designed for businesses with up to 20 team members. The Team Business tier is $59/mo and designed for up to 2 team members, and includes all the features of the Solo Business tier plus admin view of team calendar and staff accounts, and assigning staff members to appointments.

Features & Functionality
General Features

Since the CRM is an integral part of Vcita’s business management app, it doesn’t have much functionality outside the usual/basic features that you’d encounter with many other CRM providers. Rather, the business management app is focused on increasing lead generation and conversions, and the CRM helps stay on top of all client conversations. Here are some of the most notable features:

Client Portal

The client portal allows leads and customers to schedule appointments, make online payments, and share various documents with your business. The appointments can be configured to be automatically assigned to corresponding team members.

Automated reminders and notifications

Automated reminders allow your team to spend less time on admin tasks and get notified about meetings via in-app messages and SMS.

Custom email templates and follow-ups

Custom email templates allow you to send branded emails to your clients regarding payments, new opportunities, special offers, etc.

Vcita is cloud-based and can be accessed from anywhere, as long as there is an internet connection. The tool works perfectly with all browsers, except Internet Explorer, and also has a mobile app.

Analytics & Reports

Vcita doesn’t have reporting features, which can be a big downside for large teams. However, small teams usually can derive the most important analytics from their past interactions. And yet, it never hurts to have a look at reports at the end of each month, so this is a notable downside. As for the integrations, Vcita can be integrated with Facebook and G-Suite, Google Analytics, QuickBooks, Zoom, Wix, PayPal, and Zapier.

Ease of Use

Vcita is incredibly easy to use. All the possible actions are intuitive and visible on your dashboard. There is no learning curve involved. Moreover, all plans come with various onboarding sessions, with Team Platinum 10 and 20 tiers offering full onboarding for all team members.

Customer Support

When it comes to customer support, Vcita does an excellent job. While support is dependent on your pricing plan, the team does its best to answer all queries quickly and effectively.

Final Word

Overall, Vcita is a great business management tool. However, because the CRM is an integral part of the software, it doesn’t offer much functionally, unlike some dedicated CRM providers on the market. The absence of reporting features and a visual sales pipeline makes Vcita CRM less competitive. We’d recommend considering Vcita only if you’re a small service provider brand looking to enhance client communications and improve customer service.
