Customers can submit a ticket through the platform to get help. They can also call special phone numbers for different problems. There is also a big knowledge base with articles, tutorials, and FAQs to help with setup, fixing issues, and using the products.
As a user of Heartland payment processing services, my experience with their customer support has been quite mixed, leaning more toward the challenging side.
Initially, during the sales process, I found the representatives to be quite helpful and responsive. It seemed like a promising start, with smooth communication and easy setup.
But after the service was up and running, things were not as good. I’ve had long wait times when trying to reach someone, which is frustrating when you need help fast. The response time for technical and billing issues often feels slow. Sometimes, the answers I got did not really solve my problems. I’ve also seen many complaints online about how hard it can be to fix complicated problems and how the service quality is not consistent, especially with billing and software issues. This matches my own experience too.
Some users say they get excellent service, but in my view, the quality and speed of support could be more consistent. The good support I got during the sales phase didn’t always continue after I became a customer.
On the plus side, the Knowledge Base (Help Center) is well designed and easy to use. The topics are clear and well-organized, with FAQs for products, software, access management, PCI compliance, and more. For example, when I searched for ‘where to access reports’, I quickly found several pages with good information about reporting features.

Payment Fraud Prevention
Heartland prioritizes security with comprehensive fraud prevention measures, including EMV chip card technology, end-to-end encryption, and tokenization to protect sensitive cardholder data (Heartland Secure™). They also provide tools and support to help businesses reduce chargebacks and comply with PCI and other standards.
Mobile Payments
Heartland Mobile Pay transforms smartphones and tablets into versatile payment terminals. Businesses can accept credit, debit, and EMV chip card payments anywhere with wireless coverage. This mobile solution also supports features like digital invoicing, recurring billing, and real-time sales reporting on the go. It works with both iOS and Android devices.
Next-Day Funding
Heartland generally offers next-day funding, meaning businesses can receive their processed funds in their bank accounts on the next business day after the transaction occurs. However, there are even quicker options, like same-day and instant funding. This quick access to capital helps improve cash flow and financial management for businesses.

Heartland’s systems provide real-time reporting capabilities. You can access up-to-the-minute insights into sales, transactions, and other key metrics. Types of Payment Methods Accepted
Heartland enables businesses to accept a comprehensive range of payment methods, including all major credit and debit cards (Visa, Mastercard, American Express, Discover, etc.), EMV chip cards, and popular mobile wallets like Apple Pay and Google Pay,. They also support online payment options, such as ACH transactions and eChecks. For online payments, businesses can also send payment links directly to vendors or customers and they can choose their preferred method.






















Hardware & Software
Heartland offers its proprietary, branded hardware for POS systems. Customers have three hardware options to choose from:
Countertop POS: This is an easy-to-use, stationary countertop device that comes with a large touchscreen and runs on Heartland software. Heartland also offers dedicated countertop POS devices for both retailers and restaurants, with features designed to meet the specific needs of each type of business.
Mobile POS: The mobile POS device is a handheld device with a touchscreen and a built-in card reader. It’s ideal for more mobile businesses, such as food carts and mobile pet groomers.
Mobile app + card reader: Users can also accept payment from their phone with the card reader that works alongside the Heartland app on iOS and Android devices.
The hardware is generally sold separately. Also, the company doesn’t support third-party hardware for POS systems.






Performance:
Heartland offers different payment processing timelines for different payment methods. It offers instant, same-day, and next-business-day deposits. The exact duration may vary depending on the payment method and your specific subscription to Heartland’s services. The company also offers offline processing, which prevents any downtime for retailers taking in-person payments.
Ease Of Use:
Overall, Heartland’s products and services have a moderate to good level of ease of use, though this can vary depending on the specific product or service and your own technical proficiency.
The setup is pretty straightforward because it’s a plug-and-play solution, especially for POS systems. However, things can get a little complicated when setting up integrated online payments for ecommerce stores. There’s support from sales during the initial setup phase, and there are tutorials on their website to help kick things off.
For day-to-day payment processing, the interface is intuitive enough for tasks like swiping cards, processing transactions, and generating basic reports. As with any new system, there can be a slight learning curve for new employees or those unfamiliar with similar payment platforms. However, most users report that once they get the hang of it, daily operations are smooth. My experience was largely the same.
The mobile app is fairly easy to use in conjunction with the mobile card reader machine. In terms of navigation and appearance, it feels the same as the software you get on a handheld POS device or a countertop one.
Verdict:
Heartland is a viable payment processing solution for retailers and restaurants, especially those looking for an intuitive, easy-to-use POS system. Similarly, it’s also ideal for retailers running both online and brick-and-mortar stores, as it integrates both in-person and online payments, bringing all sales in one dashboard.
Heartland’s strong point is its easy-to-use devices and software, as well as its security. The transactions are secured by different protocols, including encryption, 3D Secure, and tokenization. However, the downsides include pricing and customer support. They’re not very upfront with prices, mainly because they offer customized prices according to business size and transaction volumes. Users also report costs rising after signing up, which is concerning. Also, the customer support quality and response times can be better.
Still, it’s a viable contender for payment processing, given its comprehensive features and integrations.
