HubSpot VoIP's Offerings

HubSpot VoIP pricing is tied to the Service and Sales Hub and is not available as a standalone product.

Customer Support

You can expect top-level support from HubSpot across different tiers. HubSpot’s support is known for being responsive and having a helpful and knowledgeable team. However, higher-tier customers can expect more privileged treatment.

Starter plan users can seek assistance through chat, email, and the HubSpot Knowledge Hub. Professional and Enterprise users are provided with 24/7 customer support, including phone support, which is a significant upgrade. Higher-tier users also receive a dedicated customer success manager and advanced onboarding assistance.

Personal Experience in Customer Support

I tried out HubSpot’s customer support service and was fairly pleased with it. Note that the support you receive is tier-specific. HubSpot has made it clear which type of support is available for a particular tier:

hubspot personal experience

As a starter user, I was able to access the chat and email support service.

To initiate a chat, you need to click on the Chat button at the bottom-right of the screen. As you may have guessed, the first interaction is with a bot, the HubBot as it is called.

The live chat was advanced compared to other chatbots and asked a set of qualifying questions:

The HubBot was spot on with the query and solved my issue regarding the pricing:

I asked a few different questions regarding related services, and the bot didn’t disappoint me at all. For basic questions, you probably won’t have to go past the chatbot. In case it doesn’t solve your queries, you can ask for a human representative, and the bot will connect you to one. If you’re not a Professional or Enterprise user, expect some delay in response.

For more specific issues, you can contact the support team via email. You can send an email from within your account. In most cases, you’ll receive a same-day reply. I got a response from Stephanie within 2 hours of sending the mail with a detailed answer to the query. She even followed up the next day to check if she met my needs.

While telephonic support is reserved for Professional and Enterprise users, you can request a call-back for personalized assistance. A representative from HubSpot will call you on your registered phone number.

Community

HubSpot maintains an active community of users, support members, and even top executives as contributors. Known as HubSpot Community, this is a place to discuss anything related to HubSpot and its products, including VoIP and general sales and marketing tactics. As a member, you can ask and answer questions, upvote the answers, and get in touch with other members through direct messages. For the interactions, you’ll earn “Badges.”

There are hundreds of questions and topics already maintained in the repository. You can search to access specific topics and engage in ongoing conversations.

Features & Functionality

General Features

HubSpot’s VoIP software offers a range of features designed to streamline communication and enhance sales and service processes for businesses of all sizes. Let’s explore the key offerings:

  • In-browser calling
  • Call routing
  • Automatic call logging
  • Call monitoring
  • Call recording
  • Call transcription
  • Call tracking and prioritization
  • Custom dashboards and analytics
  • Integration

In-Browser Calling

The core feature of HubSpot VoIP is its calling software that allows users to make and receive calls directly through their web browser, eliminating the need for external software or hardware like IP phones. For businesses with remote employees or sales teams, this feature removes technical barriers and allows team members to handle calls anywhere.

You can also handle incoming calls, which are free of charge.

Call Routing

The higher-tiered plans allow you to set up call routing, which automatically routes calls to agents based on availability. Routing can also be prioritized based on the customer’s CRM data, like past interactions or their position in the sales pipeline.

Automatic Call Logging

Every inbound and outbound call made through HubSpot VoIP is tracked and automatically logged into the CRM. This includes details such as call duration, time of the call, who made or received it, and notes taken by the callers. The details are automatically linked to the corresponding contact or company record in your HubSpot CRM, providing a complete view of customer interactions.

This promotes accountability and record-keeping. Logs also ensure that nothing slips through the cracks, making it easy for team members to review previous interactions with customers.

Call Monitoring

As the call data is recorded in real-time, HubSpot VoIP software allows managers and team leads to review the calls in real-time. They can view the number of calls made, the number of active calls, and the pending calls for the day. This granular data ensures that team members are providing high-quality customer service or making the required number of calls.

Call Recording

Call recording in HubSpot’s VoIP service allows businesses to record both inbound and outbound calls. Recorded calls are linked to specific contacts or deals in the CRM. This centralizes all communications, making it easier to access call logs alongside emails, chat histories, and other customer interactions.

Call Transcription

Enterprise users also get access to automatic call transcripts. The built-in transcription software converts recorded calls into text, allowing users to quickly review conversations without having to listen to the entire recording. This feature adds another layer of convenience for businesses looking to analyze or archive communications efficiently.

Call Tracking and Prioritization

Not all calls are created equal. Some lead to better deals. And you can find such deals and prioritize them with the HubSpot VoIP tool. HubSpot’s call tracking feature allows businesses to track call metrics, such as call volume, response times, and outcomes, directly within the CRM. You can segment customer data based on factors like engagement or deal status.

You can then create automated workflows to route calls to specific team members or departments based on the caller’s information or the nature of the call.

Custom Dashboards and Analytics

HubSpot’s VoIP software allows users to create custom dashboards and generate detailed reports for call analytics, enabling businesses to track call performance, monitor key metrics, and gain insights into communication effectiveness directly within the platform.

Integration

As expected, HubSpot VoIP software seamlessly integrates with the broader HubSpot ecosystem, which includes Sales and Service Hub, which makes it the best VoIP for small businesses looking to incorporate a calling system with their CRMs. With a single setup, you can connect VoIP to the rest of the HubSpot tools you might be using.

The VoIP integration bridges the gap between communication tools and customer data, enabling teams to manage calls, track customer interactions, and automate follow-ups efficiently—all from one unified platform.

With integration, you can also set up automated workflows that trigger based on call data. For example, if a call is missed or a voicemail is left, an automated task can be created for follow-up. Additionally, calls made to high-priority contacts can trigger notifications or set up reminders for future action.

Performance:

HubSpot is among the top SaaS companies with state-of-the-art software products, which is also reflected in its VoIP service.

HubSpot’s VoIP software delivers high-quality audio, ensuring clear and crisp voice transmissions. The service utilizes advanced codecs that optimize voice clarity while minimizing background noise and disruptions. Users have reported consistent call quality, which is crucial for professional communications, sales calls, and customer support interactions. And I can attest to that after using the service and making calls through the app.

However, note that because VoIP software relies on an IP address to route voice calls over the internet — call quality is highly dependent on your internet bandwidth and network performance. Poor connectivity can lead to degraded audio quality at times.

HubSpot is one of the top VoIP platforms when it comes to reliability and uptime. HubSpot offers a powerful cloud infrastructure that ensures high uptime for its VoIP services. The platform is engineered to handle significant loads, providing consistent service availability critical for uninterrupted business communications. While rare, planned maintenance windows may cause temporary service interruptions, you can get real-time updates on such instances and take proactive measures.

performance hubspot

VoIP encryption is another performance-related factor that I found irresistible. Security is a top priority for HubSpot, and its VoIP service is no exception. The platform employs industry-standard security measures to protect communications and data. The voice transmission is encrypted end-to-end, which prevents interception. Also, call recordings and logs are stored securely within HubSpot’s infrastructure, which adheres to GDPR and other privacy-focused regulations.

Overall, its high call quality, reliability, and strong security features make it a smart choice for enhancing customer interactions and streamlining sales and service workflows. The deep VoIP integration with other HubSpot tools only adds to the advantages, thus enhancing its performance.

Ease Of Use:

For users already engaged with HubSpot’s ecosystem, the VoIP service offers a seamless, user-friendly experience. As someone familiar with HubSpot, I was able to navigate the HubSpot VoIP tool with ease.

The ability to handle calls within the CRM, automated tracking, and the absence of hardware requirements all contribute to a simplified communication solution. For those new to HubSpot, there may be a learning curve with the broader platform. However, once you are familiar with it, the VoIP functionality is intuitive and efficient.

If you’ve used HubSpot before, you must be familiar with its centralized dashboard.

hubspot ease of use 2

You can access the VoIP functionality from the left-hand side panel and be taken to the calling dashboard.

hubspot current filters

Here, you can set up everything and start making calls. As you work with the VoIP tool, everything gets logged into the dashboard for you to review.

The only technical hurdle you need to overcome is setting up the VoIP number. If you want to use your personal number, all you need to do is verify it with a one-time password.

But for business use, you’ll have to purchase a number from a third-party service provider like Twilio and then link it back to HubSpot. Depending on your tech expertise, this may take some time and trial and error.

Besides that, HubSpot VoIP software is intuitive and incredibly easy to use.

Moreover, because the system is cloud-based and operates through the browser, there is no need for IP phones or PBX systems. This simplifies setup and reduces upfront costs. Users can handle calls directly from their computers or forward them to personal devices, depending on the settings.

Uniqueness:

The HubSpot VoIP software stands out as a compelling choice for businesses seeking a unified communication solution with its seamless integration with the HubSpot CRM. If you’re already using HubSpot CRM, the integration boosts efficiency and data management.

Verdict:

HubSpot VoIP tools are suited for a wide range of users, from solopreneurs to a workforce of hundreds of employees. It’s particularly suited for those already in the HubSpot ecosystem and who need a calling solution to scale or optimize their operations. If you’re working with HubSpot CRM, then the VoIP tool is a match made in heaven.

However, the VoIP tool from HubSpot is less attractive as a standalone calling software. Note that HubSpot’s VoIP is primarily designed as a supplementary feature to enhance its CRM rather than a comprehensive telephony system. This means it lacks advanced calling features like call parking and call conference.

But make your final decision only after giving the tool a try. Sign up for the $20/m plan to check if HubSpot VoIP meets your needs.
